Terms of Service

Last updated: 10 September 2026

These Terms of Service govern your use of the Axion Accounting cloud accounting service (“Axion”, “the service”). By creating an account or using the service, you agree to these terms. If you use Axion on behalf of a business, you confirm that you are authorised to accept these terms for that business.

1. Use of Axion Accounting

Axion provides online accounting software that helps you record customers, suppliers, documents and transactions, and produce reports and documents from that data. Axion is software only. We are not your accountant, auditor, bookkeeper or tax practitioner, and using Axion does not create a professional advisory relationship.

2. Your account and security

You are responsible for the accuracy of your registration details, for keeping your password confidential, and for all activity that takes place under your account. Tell us promptly if you believe your account has been accessed without your permission. We may suspend access where we reasonably believe an account has been compromised or is being misused.

3. Authorised users

Account owners and administrators may invite other users to a company and assign their role. You are responsible for who you invite, the role you give them, and for removing access when it is no longer needed. Each user must use their own login; logins may not be shared.

4. Your data and its accuracy

The data you capture in Axion remains yours. You are responsible for the accuracy, completeness and legality of the information you enter, including customer and supplier details, amounts, dates, VAT treatment and supporting documents. Axion performs calculations on the data you provide; incorrect input produces incorrect output.

5. Accounting and tax responsibility

You remain responsible for your own accounting records, statutory returns and tax obligations, including any submissions to SARS. Reports, VAT figures and financial statements produced by Axion are aids, not professional advice, and should be reviewed by a suitably qualified person before being relied upon or submitted.

6. Availability and changes to the service

We aim to keep Axion available and working well, but we do not guarantee uninterrupted or error-free operation. The service may be unavailable during maintenance, updates, or because of factors outside our control. We may add, change or remove features as the product develops. Where a change materially reduces functionality you rely on, we will try to give reasonable notice.

7. Acceptable use

You may not:

  • use Axion for unlawful, fraudulent or misleading purposes;
  • attempt to access data belonging to another account or company;
  • probe, scan, overload or interfere with the service or its infrastructure;
  • reverse engineer, copy or resell the service except as permitted by law;
  • upload malicious code or content you have no right to store.

We may suspend or terminate access where these terms are breached.

8. Intellectual property

Axion Accounting, the software, its design, branding and documentation remain our property or that of our licensors. You receive a limited, non-exclusive, non-transferable right to use the service while your account is in good standing. You retain all rights in the data and content you upload.

9. Third-party services

Axion relies on third-party providers for hosting, authentication, storage and email delivery, and may offer optional integrations. We are not responsible for the availability or acts of third-party services, and your use of an optional integration may be subject to that provider’s own terms.

10. Subscriptions and pricing

Where a paid plan applies, the applicable fees, billing period and any trial terms are those presented to you at the time you sign up or subscribe. Prices are quoted in South African Rand and, where applicable, include or exclude VAT as indicated at the point of sale. We may change pricing on reasonable notice, effective from your next billing period.

11. Cancellation and termination

You may stop using Axion and close your account at any time. We may suspend or terminate access where these terms are breached, where required by law, or where continuing to provide the service is no longer reasonably possible. On termination, your right to use the service ends; please export any data you need before closing an account.

12. Data export and backups

You can view, print and export documents and reports that the service makes available in that form, and you should keep your own copies of records you need to retain. We operate the service using managed infrastructure that includes routine platform-level resilience, but we do not offer a contractual backup, restore or data-recovery service, and you should not treat Axion as your only copy of critical records.

13. Limitation of liability

To the maximum extent permitted by law, Axion is provided “as is”. We are not liable for indirect or consequential loss, loss of profit, loss of data, or losses arising from incorrect information you entered, from decisions taken on the basis of reports produced by the service, or from penalties or interest imposed by any authority. Nothing in these terms excludes liability that cannot lawfully be excluded, including under the Consumer Protection Act where it applies.

14. Governing law

These terms are governed by the laws of the Republic of South Africa, and the South African courts have jurisdiction over any dispute arising from them. We ask that you contact us first so that we can try to resolve any issue directly.

15. Changes to these terms

We may update these terms as the service or legal requirements change. The “Last updated” date above reflects the current version. Continuing to use Axion after an update means you accept the revised terms.
